Repeat services and plan rosters
Use a saved template for a standard service shape. Use Create another like this for a quick copy of one event. Use Plan roster in Rostering to draft assignments across several dates.
Save a tested event as a template
- Build a real event until its teams, roles, and plan are correct.
- Open More actions → Save as template.
- Give the template a clear name, such as “Sunday morning”.
- Optionally choose a default weekday and reminder timing.
- Save the template.
A template can include sections, items, sub-tasks, linked songs, notes, teams, role capacity, and explicitly assigned groups. It never includes individual people. This keeps the structure reusable without carrying one date’s personal commitments into another.
When planning a new service, choose Saved templates under Start with. A template with a matching default weekday is preselected, but you can choose a different template or a blank event.
The current plan may limit how many templates can be saved. If saving is unavailable, remove an obsolete template or ask an owner to check Settings → Plan & billing.
Create another event like this one
From Agenda or an event header, choose Create another like this when you want the current setup without maintaining a separate template.
The new event copies the plan, teams, role capacity, group assignments, and reminder timing. It does not copy individual people, responses, external collaborators, or attachments.
Draft several rosters
Open Rostering, set the team filters and visible weeks, then choose Plan roster.
- Request availability.
- Create a roster draft.
- Review and invite.
Draft suggestions remain amber until you apply them. Hub checks recorded absences and same-service double bookings, but a planner must still review suitability before inviting anyone.
Schedule roster reminders
Open an event and choose More actions → Set reminder. Each assigned person receives one combined email for that event, even when they have several roles. People without an email are skipped.
If a reminder already ran and you then fix an email address, set a new reminder. This starts a new sending cycle; it does not silently resend the old one.
Starting with a new organisation
The setup flow creates your first real event. You can add a starter plan and import a People CSV. CSV import does not invite anyone. Completing setup opens the event at Team & roles, where you can replace the starter content with your actual service.
If you skipped setup, begin from Agenda → Plan service. Nothing in the setup flow is required to maintain a permanent sample event.
