Member and volunteer workspace

Hub opens at Home, with published church announcements, upcoming shared events, and your groups. The main destinations are Home, Agenda, People, and My groups. On a phone, More contains the additional tools available to you: My serving, Availability, Songs, Open roles, Propose, and Profile. Members without serving access do not need a volunteer role. External collaborators keep an event-only workspace.

Accept your Hub invitation

Open the personal access link your church sends, or sign in and choose an available organisation. If your membership is invited, review the church name and choose Accept Hub invitation. You independently choose whether to appear in the community directory, share your email, and share your phone. All three switches start off. Acceptance does not grant editor or admin rights, switch organisation emails back on, or accept a service assignment.

Until you accept, shared member content stays hidden. Existing serving access remains separate: use Open my schedule when offered to respond to your service invitations. If no Hub invitation is present, ask an organiser; a contact record or an existing roster does not itself activate Hub membership. A suspended membership cannot be reactivated from your profile.

Read church and group updates

Home shows the announcements published for everyone in your church’s Hub and for your own groups. Agenda lists the shared events you are allowed to see. Search by title, description, or location. An agenda entry is a shared event summary; it does not expose private plans, roster responses, or files. You can open a plan only with the separate event access your invitation provides.

My groups lists your own groups. Open one to see its published group announcements and events. Organisers manage membership and publication. Posts are plain text; this version has no comments, chat, push notifications, or event RSVP.

Respond from My serving

My serving (or My schedule for a guest) shows invitations waiting for a reply and upcoming services you have accepted or that an organiser has confirmed. For a pending invitation, choose Accept, Decline, or View event details. Open Past services when you need an earlier accepted or confirmed event.

Respond as soon as practical. Declining creates an organiser notification, but it does not automatically choose a replacement.

If an invitation link has expired, return to the sign-in screen and request a new email. Never forward a sign-in link; it is personal access.

Open an invited event

Use My serving to open an event you serve at. Guests can also use Events, which lists only their upcoming invited, accepted, or confirmed assignments. Draft and declined assignments are not shown. The member Agenda is a separate list of shared event summaries.

Event invitations give read-only access by default. Open Plan to read the running order, durations, notes, assigned names, and attached files. You can download files and still accept or decline your own invitations from My serving. You cannot edit durations or remove people, and you do not see roster or guest management lists with other people's response statuses.

An owner, admin, or editor can enable Collaboration in this event's header. While enabled, invited volunteers and guests can use:

  • Team & roles to work on the event roster and assignments.
  • Plan to add or edit sections, items, sub-tasks, durations, owners, notes, and files.
  • External collaborators to invite and manage event-only guests.

You cannot turn Collaboration on or off from the volunteer workspace. If an editor turns it off, the event returns to read-only access and the existing plan remains. This setting does not change your own invitation responses or your personal availability.

The volunteer workspace does not show the planner-only Presenter or Activity tabs. A guest can access only the exact event they were invited to, including the names assigned to its plan. Guest access does not open the organisation-wide People or Songs destinations.

Files follow the same event access rules as the rest of the plan. Event attachments are removed 30 days after the event ends, so keep a separate copy when long-term retention matters.

Browse People

Open People to see active members who have chosen to appear in the community directory. This directory is read-only: members cannot add, edit, archive, group, or change another person. Hidden members and their contact details are not sent to the member directory.

Under Profile, use Include me in the community directory, Share my email address, and Share my phone number. These switches are independent; contact details only appear to other members when you are included in the directory and have enabled that field. Your own saved contact details remain visible to you. Legacy volunteer contact sharing remains separate from your Hub directory choices.

Work with Songs

Open Songs to browse the shared library, add a song, or edit an existing song's text and chords. Put the title on the first line and the author on the second, then choose Save changes. Song changes are not shared until you save them.

If another person saves the same song first, Hub keeps your draft and lets you load the latest version or deliberately keep yours. Volunteers cannot archive or delete songs. The free plan's shared three-song limit still applies to songs created from the portal.

Record unavailable dates

Open Availability and choose Today, This weekend, Next week, or a custom date range. Add an optional reason and save. Upcoming and past entries are shown separately. Removing an entry requires a second confirmation.

A personal availability link can be reopened for 30 days. If you opened a different task email that cannot change availability, the Availability page offers one Send new email button and sends the right link to the address already on your volunteer profile.

An availability-request banner may ask you to either:

  • confirm that you have no conflicts or that your saved dates are complete; or
  • add unavailable dates before confirming.

Availability is a scheduling warning, not a response to an existing invitation. If you are already invited to an event you cannot attend, also decline that invitation.

Volunteer for an open role

Use Open roles to scan gaps in your own accessible events during the next 90 days. It is not an organisation-wide list of every gap. Amber cells have an opening; green cells are full. Select an opening to start a proposal for that event and role.

Use Propose to send an optional event, role, and note to the organisers. A proposal is a request, not an assignment. You are scheduled only after an organiser accepts it.

External collaborators cannot propose for organisation-wide roles.

Update Profile

Use Profile to update your photo, name, phone, skills or tags, and your Hub directory and contact-sharing choices. Your organisation manages the email address used for access; ask an organiser to correct it if needed.

Stop organisation emails

Each organisation email includes the sender's explanation, privacy notice, contact address, and an unsubscribe link. Open that link and confirm to stop invitations, reminders, availability requests, and other notifications from that organisation. No account or sign-in is required; opening the link alone does not unsubscribe you.

Your choice applies to your email address within that organisation. Another invitation, a duplicate person record, or a resend does not turn the emails back on. Other organisations keep their own preferences. A login email you request yourself remains available.

Unsubscribing does not decline an assignment, remove your profile, or close your account. Respond to existing invitations separately and use the organisation's privacy contact for requests about your personal data.

If something is missing

  • No invitation: ask the organiser to check your email and the delivery result. If you unsubscribed, request a login email yourself to open your workspace.
  • No edit controls: this event has read-only access. Only an owner, admin, or editor can enable Collaboration for it.
  • No event: confirm the organisation and ask whether you have event access.
  • No Open roles or Propose: you may be signed in as an external collaborator rather than an organisation volunteer.
  • No member content: accept your Hub invitation or ask an organiser to check your membership. Event-only guests cannot open the member directory or groups.
  • No serving tools or Songs: these depend on your serving access; a Hub membership alone does not grant them.
  • Availability asks for another link: choose Send new email; you do not need to enter your address again.
  • Availability did not save: retry after checking the connection; an error means the dates were not confirmed.
  • Plan change did not appear: reopen the event after Live sync returns.
