Start with Hub

Hub brings planning and your church community together. Members see announcements, a shared agenda, their groups, and a directory with personal sharing choices. Volunteers also keep their invitations and availability in My serving. Organisers prepare services, rosters, plans, files, and songs in the web workspace. What you can see depends on your membership, serving access, and organisation role.

If a page or action is missing, first check that you are in the right organisation. If it is still missing, ask an owner or admin to check your access under SettingsTeam access.

Join your church’s Hub

Open the personal access link your church sends or sign in and choose an available organisation. If your Hub membership is invited, choose whether to appear in the directory and whether to share your email or phone, then select Accept Hub invitation. All three choices start off. An imported contact or a serving invitation does not automatically make you an active Hub member. You can still respond to existing serving invitations without accepting Hub membership.

Home, Agenda, People, and My groups are the member destinations. Open More for the serving tools available to you and Profile. The native iOS and Android companion uses this member workspace; full administration is available at Hub on the web. Existing Planning links continue to work.

The main building blocks

  • An event is one dated service, rehearsal, or gathering.
  • A team is a ministry area that can be scheduled, such as Worship or Production.
  • A role is a place to fill on an event, such as Drums or Camera 1.
  • A person is one contact. Hub membership and eligibility to serve are separate from that record.
  • A group is a reusable collection of people. A group can also be made available to a team.
  • The Plan is the ordered outline for an event. It contains sections, items, sub-tasks, notes, songs, owners, and files.
  • The Rostering shows teams against upcoming events so you can plan several rosters at once.

Plan your first service

  1. Open Agenda and choose Plan service.
  2. Enter the date and time. Choose Blank event, Previous events, or Saved templates under Start with.
  3. Open the event and use Team & roles to add the teams and places you need to fill.
  4. Use Plan to add the order of service, songs, notes, owners, and files.
  5. Assign people or groups. Invite one team from its row, or choose Invite all volunteers when the whole roster is ready.
  6. Check replies in the event and use Rostering when you want to plan several events together.
  7. Use the event’s Presenter tab to review what Presenter can build from the current plan.

Assignments begin as drafts. Inviting someone changes the assignment to invited; the volunteer can then accept or decline. Do not treat a draft as a confirmed commitment.

Before you invite people

  • Ask an owner or admin to complete SettingsOrganisation detailsEmail privacy with the organisation’s actual assessment and privacy contact.
  • Check that every volunteer has the correct email address and respect existing unsubscribe preferences.
  • Resolve red availability conflicts.
  • Check the event date, time, teams, and role names.
  • Add the plan information volunteers need before they respond.
  • Leave Collaboration off for read-only invitations, or enable it for this event when invited people and guests should help edit the service.

If an action reports an error, do not assume it was saved or sent. Retry once. If the screen looks out of date, wait for Live sync, then reopen the event. Persistent access or billing problems need an owner or admin.
